Lab saves time and energy by digitizing documentation

This lab system serves clinics spread across the West Coast. They were struggling with document management and standardization across multiple sites, leading them to turn to MediaLab by Vastian.

‍The challenge‍

This lab system’s document management system consisted of Word documents kept in a secure drive. It very quickly became difficult to manage; the staff couldn’t consistently identify which documents were up for review, what was up-to-date, and what employees had signed off on them. They also couldn’t regulate or determine which documents staff had viewed or printed.

‍The solution‍

Document Control offered the ability to standardize digital documents, collaborate on document revisions, securely track document changes, and report on usage and sign-offs of those documents. Quality coordinators could see at a glance what documents were approved, in review, or in need of updates. Administrators could analyze usage reports to know which documents are most used and which ones were not receiving the necessary engagement.

Document Control allowed lab staff to focus less time on the administrative and more on the clinical. It was easy to learn yet robust in maintaining our documents. The user interface was intuitive and allowed their staff to quickly locate the information they needed through searchable documents. Today, Document Control helps them keep track of document versions and printed controlled copies. It has made document approval and review a snap. Their staff love it, and their management loves how it has permeated a dedication to quality across the entire system.
