Period of Implementation

The work authorized in this Project Plan will occur within the Implementation timeline defined below, beginning from first scheduled kick off call.

Deliverables

MediaLab by Vastian (henceforth referred to as “MediaLab”) will provide the following Deliverables within the Period of Implementation as determined by the number of applications.

Service Description
Site Creation and Access MediaLab will establish a dedicated site(s) for Client as per Order Form.
Kick Off Implementation Kick Off and Project Planning call (review project timeline, configuration options, project roles, and project logistics).
Project Management The project management services include development of an implementation project plan, and ongoing timeline management and risk mitigation.
Dedicated Implementation Specialist Best practice guidance and one on one, train the trainer style, training sessions to ensure successful implementation of products.
Training and Configuration Support Dedicated administrator training delivered Virtually (and recorded if available). Unlimited use of Deep Dive videos and self-help material on the MediaLab Help Center.

Total hours and timeline are accumulative based on the applications purchased as defined by Order Form.

The project will include the following Milestones on the following typical schedule. Total implementation timeline will be dependent on Client complexity and number of applications purchased.

Project Team

Team Member(s) Description
Project Manager Your Project Manager is responsible for project management oversight, including managing timeline and change throughout your implementation.
Implementation Specialist Your Implementation Specialist is responsible for ensuring the successful implementation of MediaLab and providing one on one training during the set-up process.
Support Your primary point of contact for support after launching. MediaLab Support can be reached by opening a ticket via our support page.
Client Success Specialist Dedicated MediaLab representative responsible for quarterly check ins to manage adoption and utilization targets.
Account Manager Main point of contact for anything accounts or contract related. Your Account Manager is responsible for managing any new features or changes you would like to make to your Subscription.
Billing Reach out to the Billing team for any invoice or billing related questions. They can be reached by emailing to billing@vastian.com.

Project Management

This project will be managed using a structured Waterfall methodology, with a detailed Work Breakdown Structure (WBS) defining project tasks, deliverables, and dependencies. A shared project plan will be maintained, outlining phase-based milestones and task assignments. Responsibilities will be allocated to the appropriate parties, ensuring clear ownership and accountability. Progress will be tracked against the project plan, with formal reviews at each phase to assess completion before proceeding to the next stage.  

As part of your Implementation Project, you will receive a link to a Project Plan. Every week your Project Manager will communicate weekly updates with items that have been completed as well as next steps for the following week.

Client Responsibilities

  • The Client must provide the necessary project information, assist in scheduling and participating in necessary information gathering sessions, and otherwise act in good faith to complete the project in a timely and cost-effective manner.
  • The Client must make available resources for Project Administration, Domain Configuration, Training, User Acceptance Testing, and ongoing System & Program Administration.
  • The Client must make available technical resources to assist in configuration of any (e.g. Single Sign-On) as well as any client-side machine, device, or network setup required to allow access to MediaLab (e.g. firewall settings).
  • Respond to requests for feedback or review in a timely manner.

Communication Plan

  • Email: Ongoing communication to share prework, schedule meetings, and follow up tasks to ensure alignment across teams.
  • Virtual Meetings (as determined by project plan): to align on tasks, answer pending questions and provide prescriptive set up guidance.

Completion

Project will be considered complete upon completion of the Deliverables set forth herein. MediaLab reserves the right to deem the Project completed in its sole reasonable discretion when Deliverables could not be completed within the Period of Implementation despite MediaLab’s best efforts.
